Admission to the PHD programme

What should I be aware of before I apply for admission?

In order to apply for admission to our PhD Programme, you have to fulfil our admission criteria as stated on our webpage

If you are qualified, you can contact relevant research groups to find potential supervisors. You can find an overview of the Research groups at The Faculty of Medicine on our webpage

To get admission to the PhD programme, you can apply for a doctoral research fellowship or you can apply for external funding, i.e. you can work at UiO or elsewhere. Vacant positions at the Faculty are announced on our website

Application for admission to the PhD Programme (PHD-MED) at the Faculty of Medicine must be submitted via Søknadsweb. You must fill out a contract for admission to the PhD programme which you can find on our webpage together with other important information concerning application and admission  

When you have secured funding and your application is complete, i.e. you have collected all necessary documentation mentioned at the end of the application form, you can submit your application to the faculty.   

  • Residents outside the EU/EEA must be registered manually before they can submit their application, and must send a request to forskerutdanning@medisin.uio.no.

What happens after I have submitted my application for admission?

  • The faculty checks the documents
    • If any documents are missing from your application or there are any ambiguities, we will contact you
  • The project description with approvals for medical and health research will be sent for assessment to the institute you are applying for admission
    • In cases where the project has not been peer-reviewed externally, we will get in touch so that the project can be assessed
  • After the project has been evaluated your application will be forwarded to the dean for final admission decision 
  • The faculty will send you a reply letter
    • If you are admitted to the PhD programme, the signed contract for admission will be enclosed with the reply letter. You will also be registered in our student system as a PhD candidate. This will give you a username and password. Normally you will receive your username by SMS

Courses

I have applied for admission to the PhD programme, but I have not been admitted yet. Can I apply for admission to MF9010E INTRO I and MF9030E INTRO II?

MF9010E INTRO I is restricted to candidates with formal admission to the PhD programme. You cannot, therefore, apply for admission to this course before you have received confirmation of admission to the PhD programme. MF9030E Intro II is restricted to PhD candidates at the Faculty of Medicine and the Faculty of Dentistry at the University of Oslo. Phd candidates are recommended to take Intro II in their second or third semester of the PhD programme at the Faculty of Medicine. See information about "Admission" in the course description: http://www.uio.no/studier/emner/medisin/med/MF9030E/

I have applied for admission to the PhD programme, but I have not been admitted to the programme yet. Can I apply for admission to elective PhD courses?

You can apply for admission to elective PhD courses, but until you have been admitted to the PhD programme you must apply for a right to study elective PhD courses in medicine and health sciences. Information about how to apply for a right to study

I am an external PhD candidate / master student / postdoc candidate. Can I apply for admission to PhD courses at the Faculty of Medicine, UiO?

The compulsory courses MF9010E INTRO I and MF9030E INTRO II are restricted to PhD candidates at UiO. External applicants cannot apply for admission to the compulsory PhD courses at the Faculty of Medicine.

External PhD candidates / master students / post doc candidates can apply for admission to elective PhD courses at the Faculty of Medicine, but must first apply for a right to study elective PhD courses in medicine and health sciences. How can I apply for admission to courses with codes: HES9XXX / IMB9XXX?

The faculty only administers courses with course code MF9XXX. If you have any questions about courses with a different course code, you must ask the respective institute as these courses are institute-run.

Educational component

When do I have to complete the compulsory mid-term evaluation?

All PhD candidates must carry out the mid-term evaluation when they are halfway through the PhD programme. The mid-term evaluation is a prerequisite for approval of the compulsory course INTRO II. We therefore recommend that the mid-term evaluation and INTRO II be carried out in the same semester. Information about mid-term evaluation and forms

How do I register credits from external courses and other activities?

To get credits for courses and other activities registered as part of your educational component, you must apply for approval of the educational component as soon as you have achieved 30 ECTS credits in total. External courses and other activities will not be pre-approved. The application for approval of the educational component must be submitted when you have achieved 30 credits. My educational component has been approved. Why is it still registered in Studentweb that I do not have the necessary credits?

A thesis amounts to 150 credits and until your PhD examination (trial lecture and public defence) has been registered, Studenweb will say that you have not yet achieved all credits.

Development dialogues

When should development dialogues be carried out?

The first dialogue should be held at the start of the project. The next dialogue should take place 6 months later and after that it should take place annually. The dialogues must be reported on a Development dialgue form

Extensions and leaves of absence

I have been on sick leave and/or parental leave. How can I get my leave of absence registered?

Statutory leaves of absence and sick leaves give you an automatic right for extension on the PhD programme. To register your leaves of absence, you must submit documentation from NAV or your employer with confirmation of duration of your leave. Send the confirmation by e-mail to postmottak@medisin.uio.no  Information about extensions and leaves of absence.

My right to study will soon expire and I do not want to lose access. What should I do?

You can apply for an extension if you need more time on the PhD programme to write your thesis. Please apply for an extension at least 3 months before your admission on the programme expires. Note that you can apply to submit your thesis for evaluation after your admission period has ended, but that you lose your right to supervision if you do not apply for an extension. 

NB! All your supervisors must sign the application form for extension. The application cannot be processed until all signatures have been received. 

Change of supervisor(s)

I have changed supervisor(s). How can I get this registered?

You must apply to the faculty if you want to change your supervisors. Fill out contract for the change of supervisors and submit it to postmottak@medisin.uio.no Both you and the supervisor(s) to whom the change applies must sign the contract. Thesis, evaluation and public defence

I have many co-authors on a paper. Do all of them have to sign the co-author declaration and do they all have to sign on the same sheet of paper?

Only the 5 most important co-authors need to sign the co-author declaration. The co-authors do not need to sign the same sheet of paper, but you yourself must sign all the declarations. Make sure that the declarations and signatures are on the same page. The co-author declaration can be signed digitally or by hand. 

One of the committee members we want to propose has published with one of the supervisors. Can we propose him/her as a committee member?

As a rule committee members should not have had any publications with supervisors / candidate during the last five years. He/she may nevertheless be proposed, but it is the dean who makes the final decision on whether he/she can be appointed. Appointment depends, among other things, on how many co-authors there are in the said publication(s). It is important that you explain this relationship in the declaration of impartiality.

I have applied for evaluation. When can I defend my thesis?

  1. After the thesis, including all necessary attachments and forms, has been submitted to the faculty, the proposed evaluation committee must be approved by the dean. This process can take more than four weeks. After the committee has been appointed you will receive an e-mail about the further process.
  2. The thesis is sent to the members of the evaluation committee after the committee has been formally appointed. The evaluation committee has 3 months to submit a recommendation. The dean's approval of the committee’s recommendation usually takes between four and six weeks.
  3. Earliest date for trial lecture/public defence is 6 weeks after the recommendation has been approved by the faculty. Before your defence, you will receive detailed information and guidance, in a separate e-mail from your administrative officer working on your case.

My thesis has been approved worthy of public defence. How can I get it printed?

In order for you to get your thesis printed, you must fill out the requisition form you can find on the webpage Printing the thesis. After you have filled in the fields about yourself and the thesis, you must submit the form to your administrative officer to sign before he/she returns it to you. The faculty covers the cost of 40 copies and 5 colour images per copy. It is your administrative officer who fills in the Org. Unit ID and delivery address for these 40 copies, including the ISBN-number.

Send the completed and signed requisition form and thesis to Graphic center.

Is it possible to get the diploma before conferral?

No, unfortunately, it is not possible to get the diploma before the conferral. For an overview of the dates of conferral at UiO, see Doctoral conferment

IT services at the UiO

How long do I have access to UiO's IT services and home area after my admission period has expired or I have terminated the PhD education?

You will have access to UiO's IT services and home area for a while after your admission period has expired. You will be notified that your account will be blocked one month before it is blocked. One month after the account has been blocked, your account will be closed. Read more
